1. Who we are
SikaHene ERP is business management software produced by Reginuity Accounting Softworks
("SikaHene", "we", "us"), based in Ghana. This policy covers the SikaHene ERP web
application, the SikaHene ERP mobile app for iOS and Android, and this website.
2. Two different kinds of information
SikaHene ERP is a business system, not a consumer app. That distinction matters for
privacy, so it is worth being clear about it up front.
Business data is the information a licensed business puts into SikaHene ERP
to run itself: its invoices, its stock records, its employee payroll records, its
customer contact details. That business is the owner of the data and decides what goes in,
who may see it, and how long it is kept. We simply hold and process it on that business's
instructions, as its service provider. If you are an employee, a customer or a supplier of a
business that uses SikaHene ERP and you have a question about your information, that
business is the right place to ask, but you may also contact us and we will help.
Account data is the small amount of information we need in order to sign you
in and keep your session secure. We are responsible for that directly.
3. What the mobile app collects
Sign-in information
To sign in you provide an Access Code (which identifies your company), a
Username and a Password. These are sent to our servers over
an encrypted connection to authenticate you. Your password is not stored on your
device. After a successful sign-in, the app stores a session token, your username,
your access code, your business name and your permission list on the device so that you do
not have to sign in again every time you open the app.
Device identifier
The first time you open the app, it generates a random identifier and saves it on the device.
This identifier is sent with your sign-in so that we can keep your account signed in on one
device at a time, which is a security measure. To be precise about what this is and is not:
it is a random number the app makes up itself. It is not your device's
serial number, not the advertising identifier (IDFA), and not any hardware identifier
provided by Apple or Google. It tells us nothing about your device or about you, it is not
used for advertising, and it is destroyed if you uninstall the app.
Business data you enter
When you use the app to do your work, what you enter is transmitted to your company's SikaHene
ERP database. Depending on which parts of the system your company uses and what your
permissions allow, this can include:
- Customer and supplier records, including names, phone numbers, email addresses and postal addresses
- Sales, purchases, invoices, receipts, payments, journals and other accounting records
- Inventory records, stock counts, item locations and expiry dates
- Employee records for payroll, which can include names, email addresses, job titles, social security (SSF) numbers, bank names and bank account numbers, and salary and deduction details
- Attendance records
This is your company's data. We hold it so that your company can use its own system.
4. What the mobile app does not collect
We want to be specific here, because "we may collect certain information" is the kind of
sentence that tells you nothing. The SikaHene ERP mobile app does not contain any analytics
software, any crash-reporting software, any advertising software, or any third-party tracking
software of any kind. It requests no permissions from your phone. Concretely, it does
not collect or access:
- Your location. The app has no GPS or location capability at all.
- Your camera, your microphone, or your photo library.
- Your phone's address book or contacts.
- Your browsing history or your search history.
- Any advertising identifier, and any data used to track you across other companies' apps or websites.
- Analytics or usage statistics about how you move around the app.
- Crash reports or diagnostic telemetry.
- Your health, fitness, financial or biometric data as an individual consumer.
5. Information stored on your device
The app keeps three small files in its own private storage area, which no other app can read:
your session information (as described above), the random device identifier, and the list of
pages you have pinned to your dashboard. Reports and invoices that you open as PDFs are
written to a temporary folder so that your phone's document viewer can display them.
Uninstalling the app removes all of it.
6. How we use information
We use the information described above only to:
- Sign you in and keep your session secure
- Show you the parts of the system your permissions allow, and no others
- Store, process and return your company's business records, which is the entire purpose of the product
- Generate the reports, invoices, receipts and payslips you ask for
- Provide support when you ask for it, and keep the service running and secure
7. What we never do
- We do not sell your data, or your company's data, to anyone. Ever.
- We do not use your data for advertising, and we do not show advertising.
- We do not track you across other companies' apps or websites.
- We do not share your data with data brokers or advertising networks.
- We do not use one client's business data for any purpose connected with another client.
8. Sharing your information
We share information only in these narrow circumstances:
- Within your own company. Business data is visible to the users your company's administrator authorises. Your administrator controls those permissions, not us.
- Messaging. If your company uses SikaHene ERP to send emails or SMS to its customers or staff, the message and the recipient's address or phone number are passed to the delivery network needed to send it.
- Payments. The mobile app does not sell anything and processes no payments. Licences and messaging credit are purchased on our website, and the payment itself is handled there by a third-party payment provider on its own systems. We do not receive or store your full card details.
- When the law requires it. We will disclose information if we are legally compelled to, and we will tell the affected client unless we are prohibited from doing so.
9. Security
All communication between the app and our servers uses encrypted HTTPS connections. Passwords
are stored as salted hashes, never in plain text, and are never written to your device. Each
client's data is held in its own separate database. Access within a client's system is
controlled by permissions that the client's own administrator sets. Sessions expire and, as
described above, an account is limited to one device at a time.
No system is perfectly secure, and we will not pretend otherwise. If we become aware of a
breach affecting your data, we will notify you and the relevant authority as required by law.
10. How long we keep information
We keep your company's business data for as long as your company holds a SikaHene ERP licence,
because that data is the service. Accounting records also carry statutory retention
periods that your business is required to observe. When a licence ends, we retain the data for
a reasonable period so that your business can retrieve or export it, after which it can be
deleted on request.
11. Your rights, and how to delete your data
Under Ghana's Data Protection Act, 2012 (Act 843) you have the right to know what personal
data is held about you, to have it corrected if it is wrong, and to ask for it to be deleted.
Because SikaHene ERP accounts are created and controlled by your company's administrator
rather than by you, there is no self-service sign-up and no self-service account deletion in
the app. To have your user account removed, or to ask what personal data is held about you,
contact your company's SikaHene administrator, or reach us on our contacts below
and we will act on it, in coordination with
the business that owns the data where the request concerns that business's records.
12. Children
SikaHene ERP is a business tool. It is not directed at children, and it is not intended for
anyone under 16. We do not knowingly collect personal information from children.
13. Where your data is held
Our servers are hosted in London, United Kingdom, by a commercial hosting
provider acting on our behalf. If your business is in Ghana, or anywhere else, this means
your data is transferred to and stored in the United Kingdom. We tell you this plainly
because you are entitled to know which country your records sit in.
Data held in the United Kingdom is protected by UK data protection law in addition to the
commitments we make in this policy. Wherever your data is held, it remains subject to this
policy, and we do not transfer it anywhere that would weaken those protections.
14. Changes to this policy
If we change this policy we will update the date at the top of this page. If a change
materially affects how we handle your information, we will tell our clients directly rather
than relying on you to re-read this page.
